Overview

The PlayByPoint integration automatically syncs key data from your PlayByPoint account into Patch so you can run targeted email and SMS campaigns, automate follow-ups, and improve member retention without manual exports.
 
At a high level, the integration:
  • Sends contact and player information from PlaybyPoint to Patch.
  • Syncs purchases, memberships, and program activity as order and event data.
  • Keeps data up to date in (near) real time after the initial historical import.
  • Unlocks ready-made Patch journeys and campaigns built around your PlaybyPoint data.

 


What the integration does

Once enabled, the PlayByPoint integration keeps your Patch contact database in sync with your PlayByPoint players.
 

Data that syncs from PlayByPoint to Patch 

Contact information
  • Name
  • Email
  • Phone number
  • SMS opt-in status
  • Birthday
  • Gender (when available)
  • PlayByPoint Player ID
Revenue and order data
  • Total number of orders
  • Total amount spent
  • Last order date
  • Order revenue and categories
  • Program type (for relevant orders)
Memberships
  • Membership status (active, cancelled, expired, etc.)
  • Membership acquired date
  • Membership expiration date
  • Membership type
Check-ins and programs
  • Last visit date
  • Last visit type
  • Number of check-ins
  • Program and check-in types, such as:
    • Classes
    • Clinics
    • Lessons
    • Leagues

Sync timing

Data syncs are designed to be near real time:
  • New or updated contacts are sent from PlayByPoint to Patch as they change.
  • Order and membership events (for example, purchases, refunds, and membership changes) are sent to Patch shortly after they happen.
  • Program and check-in activity flows to Patch with the related order or attendance data so you can target customers based on how they actually use your facilities.

Note: Historical event data for orders, check-ins, and memberships is not available through the integration. To ensure all contacts are in Patch, users must export them from PlayByPoint and import them into Patch as a one-time process at the beginning of onboarding.

This means Patch always has fresh PlayByPoint data to power your segments, dashboards, and journeys.

 


FAQs

Is the integration included in my Patch plan?

Pricing and packaging can change over time. Your Patch representative can confirm whether the PlayByPoint integration is included in your current subscription or available as an add‑on.
 

How often does data sync between PlayByPoint and Patch?

After the initial historical import, the integration is designed to keep data in sync in (near) real time. New contacts, orders, memberships, and key field changes in PlayByPoint are sent to Patch shortly after they happen.
 

Can I choose which PlayByPoint locations are connected?

Yes. During setup, the Patch team will confirm which PlayByPoint location(s) should be connected to your Patch account. If you add new locations later, contact Patch support to discuss connecting them.
 

Can I target specific programs, classes, or leagues?

Yes. Because program and check‑in types (such as classes, clinics, lessons, leagues, and events) are included in the data sent from PlayByPoint, you can:
  • Build segments for players who attended certain program types.
  • Trigger follow‑up automations after a class, clinic, or event.
  • Promote related programs to players who have shown interest in similar offerings.

Who should I contact if something looks wrong with the data?

If you notice missing or unexpected data in Patch that you believe should be coming from PlayByPoint:
  1. Capture a few specific player examples with screenshots from both systems.
  2. Reach out to Patch at support@patchretention.com or your Patch onboarding manager.
  3. Include that this is related to the PlaybyPoint integration so the team can route your request correctly.
