Automating Report Generation

Automating the generation of the Account Report in Patch can save you time and ensure you receive timely updates on your business performance.

Here's how to set up automation:

• Log in to your Patch account.
  • If you have not already create the report within the ‘Reports’ section. For a step-by-step guide on how to build a report click here.

Create a New Automation:

• Navigate to the "Automations" module in Patch.
  
  
• Click the purple plus ‘+’ button in the bottom right corner to create a new automation.
  
• Choose the options for ‘Start from Scratch’.
  
  
• Name your automation - ensure this is easily recognizable.
  
  

Configuring Automation:

For this type of automation, you will use the ‘At Time’ block as the trigger. Configure this block based on your needs.

Select the option for ‘Repeating’ then set the interval. Most accounts run this report Monthly or Quarterly.

Choose when this automation will start.

To set it to Quarterly - use the month option and increment to 3 months.

Determine which day of the month this will run and the time of day.

If you want to have this report only run on a certain day of the week use this setting:

When ready click 'Save, Approve, & Close'.

Then select the ‘Create Report’ action block and drop it on the canvas.

Use the ‘Select Report’ button to select the report that you previously created.

Make sure to copy the Report URL SmartText provided so you can include that in your message block next.

Now use the ‘Select Contacts’ action block by dragging it onto the canvas.

In this block, you will use only the ‘Limit to Specific Contacts’ setting. In the search box, you will find the contacts of those who you want to receive the email with the link to download the report.

Now you will use the ‘Send Email’ action block. Configure this email accordingly and paste the

SmartText you previously copied from the report block into a text block within your email. This SmartText will insert the URL of the report each time it runs dynamically for you.

Enable Automation:

Activate this automation by using the toggle in the top right corner.

Test your campaign and ensure everything is working properly.

Once enabled, Patch will automatically generate the Account Overview Report according to your specified schedule. This feature ensures you stay informed about your business performance without the need for manual intervention.
