Getting Started with SmartOffers
Accessing SmartOffers
In your Patch account, locate the SmartOffers module on the left-side menu. If it's not visible, reach out to us at success@patchretention.com for activation assistance.
Creating a New SmartOffer
Click the purple “+" button to initiate the creation of a new offer. On the next screen name your SmartOffer and then select the type.
Choosing the Offer Type:
- Promotional Offers: These are triggered by sending a communication (text or email) or can be claimed by customers checking in via a kiosk or completing a form. They constitute the majority of offers created.
- Loyalty Offers: Designed for customers to earn through a points system, akin to a traditional punch card setup.
Filling in the Offer Details:
- Title: Give your offer a title that is displayed to the customer along with any necessary fine print or details.
- Setting Limits: Limits are crucial for offers intended for wide distribution. Specify how many times an offer can be used by an individual or in total.
- Scheduling the Offer: Define the offer's validity period with start and expiration settings.
- Redemption Settings: Adjust these if your offer is to be accessible online. Default settings work for kiosk-only offers.
- Allowable Redemption Time: After someone redeems a web offer their device will display information about what offer the customer redeemed and when. It is recommended that you place a redemption time restriction for employee clarity. 10-15 minutes is usually sufficient for a customer to redeem an offer and show it to an employee to get said incentive. Once the time period expires a new window pops up and tells the customer and employee that this offer is no longer available to this customer.
- Barcode: You can create a barcode for web offers so that a scanner on your POS can be used to add discounts to a customer’s bill.
- Require a security code: Customers cannot redeem an offer without an employee entering a code on the kiosk or device approving the redemption. This is a very rarely used setting and should only be used with good reason.
Customizing the Offer Design:
- Add a header or background image from your library or upload new ones.
- Feel free to customize the color scheme of your SmartOffer for a unique look.
Advanced Settings (Optional):
- Forms: Decide if you want this SmartOffer to be activated based on filling out a form.
If using a Form to activate a SmartOffer then the authentication settings are disabled within the SmartOffer and the settings from the Form will apply. - Authentication: To avoid duplicates contacts will authenticate their identity based on email, phone number, or both. This only applies to Promotional SmartOffers. This only applies to 'New Contacts' or if the Contact is not authenticated by a traceable SmartLink (typically when sent via a message (email or SMS).
- Filtering: Use this sparingly to target a very specific segment of your audience.
- Estimated Value: Assign an estimated value to track potential ROI.
Click 'Save' in the top right-hand corner to then populate the last step for 'Promote'.
Promotion:
For web offers, a shareable link is provided for easy distribution.
Activation settings typically remain the default, ensuring the offer is visible only to the intended recipients.
Creating Loyalty Offers
Loyalty offers follow a similar setup process with a few distinctions:
- These offers are redeemable exclusively at a kiosk and are not suitable for web distribution.
- Specify the required points for redemption and select the applicable loyalty program. Determine whether the points needed to redeem the SmartOffer should be deducted from their total points available as well as if this redemption should award them a point during this visit.
The promotion section is not applicable for loyalty offers, as they are inherently designed for kiosk use.
Final Steps
Review all settings and then click “Save” and then toggle to enable your SmartOffer.
Note: In cases of parent/child account structures, there may be specific restrictions on offer visibility and kiosk integration. For any complexities or inquiries, reaching out to Patch Retention support or your account's parent manager is advisable.
Activating / Adding SmartOffer to blast
Once an offer has been created you can now add this SmartOffer to an Email or SMS blast! Here is how activate this offer within a blast:
Start by creating a blast.
While creating a blast, at the top there will be a 'shopping tag' icon to the right of the SmartOffer title name.
After selecting the 'Shopping tag' icon, it will bring up the 'Activate SmartOffer' settings. Here you can choose the SmartOffer, and limit the number of redemptions and how long the offer is active for.
When you click on the 'Select SmartOffer' button, it will open up another page where you can choose the offer you want to be activated with the message.
Once a SmartOffer has been selected, it will appear with a green shopping tag icon.
The GREEN shopping tag icon means that there is a SmartOffer attached to the blast!
This green colored icon means when this blast gets sent, the attached offer will be activated along with the configured offer settings (Redemption limit, time activated for)
This comprehensive guide aims to empower you to leverage the full potential of SmartOffers within Patch Retention, enhancing your promotional strategies and customer engagement efforts.
